Anticipated Administrative Assistant - BCSD Maintenance Department2526-11

The Binghamton City School District is seeking candidates to fill an Anticipated Administrative Assistant position for the Maintenance Department for the 2025-2026 school year.

This is a 12-month non-represented position, 8 hours per day/260 days per year.

In order to be considered for this opening, applicants must be:

    • Currently on the Civil Service eligible list for the title, or
    • Currently appointed to the title position, or
    • Eligible to take the exam for the title when it becomes available

 

DISTINGUISHING FEATURES OF THE CLASS: This is an administrative and public contact position involving responsibility for conserving the time of an administrator for planning, policy-making and coordinating the activities of a major department or agency. The work involves independently handling correspondence and public contacts, collecting, analyzing and processing information and data and coordinating special assigned projects as directed. Work is performed in accordance with policies and objectives outlined by the department head with wide leeway allowed for the exercise of independent judgment in applying policy to specific cases. Supervision may be exercised over other staff members in carrying out special project assignments. Does related work as required.

TYPICAL WORK ACTIVITIES:

  • Assists the department head or administrator in matters related to administration, budget and office procedures;
  • Plans and coordinates and oversees special projects and explains and provides information on project to staff;
  • Assists in the preparation of required reports and collecting a variety of financial and statistical data;
  • Conducts surveys to obtain information on citizen needs and opinions;
  • Responds to complaints from various sources and follows up on their resolution;
  • Answers information requests from other agencies and the general public;
  • Explains department and agency functions and activities at meetings with civic groups and community organizations;
  • Acts as agency’s liaison with citizen groups and attends various citizen committee meetings;
  • Coordinates use of public facilities for community functions and meetings.

 

FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS;

Good knowledge of general office administration, procedures and practices; good knowledge of business arithmetic and English; working knowledge of modern practices and principles of office management, budget control and public relations; working knowledge of the basic functions of municipal government; ability to become readily familiar with specific laws, rules, regulations and policies; ability to handle administrative details, correspondence and public contacts; ability to collect, analyze and summarize organizational data and information; ability to present data, reports and recommendations clearly and concisely in written and oral form; ability to work effectively with others; good judgment in solving administrative and clerical problems; initiative and resourcefulness; dependability; courtesy; ability to operate a personal computer and utilize common office software programs including word processing, spreadsheet and databases at an acceptable rate of accuracy and speed; physical condition commensurate with the demands of the position;

 

Base Salary $48,000.00
Students Records Specialist - 12 Month2425 - 80

The Binghamton City School District is seeking candidates to fill an anticipated Students Records Specialist position for the 2024-2025 school year. This is a full-time, 12- month position.

Job Qualifications

DISTINGUISHING FEATURES OF THE CLASS:

This is moderately difficult clerical work involving responsibility for the independent performance of a variety of student record-keeping tasks. The work requires the development of expertise in computerized student record-keeping practices and

requires decision making as to methods to be used. Incumbents must respond to a wide variety of telephone and in-person inquiries, and the position involves extensive public contact. The incumbent works under general supervision with leeway allowed for the use of independent judgement.  Does related work as required.

TYPICAL WORK ACTIVITIES:

  • Reviews and checks a variety of complex student record documents for accuracy and completeness.
  • Reviews the status of student records and takes appropriate action as needed to complete the record.
  • Utilizes computer files to verify student admission status, documents   on file, and other necessary information.
  • Enters compiled student information into a central computer system to be accessed by many college departments.
  • Tracks, monitors and updates a variety of student records within the computer system.
  • Prepares standard correspondence on matters related to student record­ keeping.
  • Answers inquiries in person or by telephone regarding student record­ keeping policies, procedures and requirements.
  • Produces reports based on in-house information or develops report requests for information stored in other areas.
  • Assists with the planning and running of special events sponsored by the department.
  • Coordinates and prioritizes bulk mailings and other projects; Assists in the training of other departmental staff as assigned.

  • Good knowledge of office terminology, procedures, equipment and business English.
  • Working knowledge of the theory and practices of entry and retrieval of computerized information.
  • Ability to organize and maintain accurate records and files.
  • Ability to develop effective working relationships and deal diplomatically with the public.
  • Ability to learn and utilize an automated record-keeping system; Ability to follow oral and written directions.
  • Ability to perform close detail work involving considerable visual effort and strain.
  • Clerical aptitude, accuracy and good judgement; Courtesy and integrity.
  • Physical condition commensurate with the demands of the position.


 

Per contract $32,522
